¶ 1. Install Microsoft Teams on Both Desktop and Mobile
- When you start working with us, please download and install the Microsoft Teams application on both your computer/laptop and your mobile phone.
- This ensures that you always receive messages from your colleagues and clients in real time and do not miss important updates.
- Please note that the web version of Teams does not function as reliably as the desktop and mobile apps, so installing both versions is mandatory for smooth communication.
- Use your Outlook account settings to define your working hours in Teams.
- During working hours, ensure your status is always set to "Available" (green icon).
- If you take a break lasting more than 10 minutes, update your status in Microsoft Teams as follows:
- Click on your profile picture in Teams and select "Set status message".
- Type a message indicating your break start and end time (e.g., "On break until 3:00 PM").
- Your time zone must always be set to EST (Eastern Standard Time) to ensure proper visibility of availability for the entire team.
- Check the box "Show when people message me" so that anyone who messages you will receive this status update automatically.
- Verify that the message is displayed correctly in your profile.
- When you return from your break:
- Hover over the status message.
- Click on the Trash can icon to delete the message and reset your status to "Available".
By following this process, you ensure clear communication with your colleagues during breaks.
- Set an automatic reply in your email for days-off and vacation days to inform others of your unavailability.
- In Outlook, go to "File" > "Automatic Replies (Out of Office)".
- Write a clear message indicating your absence and the expected date of your return.
- Apply the reply to both internal and external senders if applicable.
